Once you have selected the style of bag you will be supplying to your delegates, the next logical step would be branding. How best to showcase the name of your event, date and logo within your budget.
Printing your information on the bag is the most popular option selected by conference organisers and they choose between either screen or digital printing. The choice between these options depends on the quantity of bags you intend branding and the number of colours you intend using.
For larger conferences, screen printing is popular as the cost for setting up the screen is divided across the quantity of bags, especially if it is a single colour print. Screen printing involves creating a stencil or “screen” and then using it to apply layers of ink to the fabric. When using multiple colours, each colour would be applied using a different screen, one at a time, until the final look is achieved.
Digital printing is somewhat different as it involves your artwork being processed on a computer and then printed directly onto the surface of your fabric. This option is best used when you require a high amount of detail and you intend to print small runs and since there are no screens or setup costs this allows you to print 1 item if you wish to do so.
Another option for branding your conference bags is machine embroidery and even though slightly more costly than printing, your delegate bags may look more “high end”. This branding option is more suited for smaller text or logos though as it will be quite expensive to have your logo fill the entire front of your bag.
If you intend supplying you delegates with leather or suede conference bags, embossing your logo onto the hide is the perfect way to brand these bags. Embossing creates an impression in the leather, which is either raised or recessed, without the use of colour, resulting in an understated look.
Whatever option you decide to use, ensure it is legible and eye catching. As your delegates move about the Convention Center or venue carrying their branded conference bags your message & logo is constantly visible.
When procuring bags for your next event, try sourcing these locally, in the city or province your event is being held. Not only will this reduce the carbon footprint of your event but you will also be supporting the local economy. Look to NGO’s, sewing co operatives and small businesses and buy local.
Conference Bags made from either natural materials, like jute, bamboo or hemp are great alternatives and recycled materials such as used advertising banners or flour & rice sacks make for unique delegate bags and will set your event apart from the mass produced imports that are widely available.
When designing your bags, ensure they can be used after the conference or summit, perhaps with a removable logo. This will extend the life of your conference bags as delegates will be more likely to reuse them after the event.
Also try to take advantage of companies or organisations who collect used delegate bags for donations to local schools, this not only recycles your conference bags but helps underprivileged learners who cannot afford school bags.
